Email policy

This policy was adopted at the Annual General Meeting, 3 October 2003.

Introduction

From 1 January 2004, all communications between members of the academy (where possible) will be done by email.

petermortonjujitsu.org.au email addresses

There are four types of petermortonjujitsu.org.au email addresses.

  1. Branch email addresses
  2. Dan/Purple belt email addresses
  3. Event/Function email addresses
  4. Other email addresses

Branch email addresses

Every branch has a petermortonjujitsu.org.au email address. This is the contact email address that is usually used on the web site and on promotional material.

It is the responsibility of the Chief Instructor of each branch to nominate one person to monitor the branch email address. The nominated person doesn't have to be a Dan grade or a purple belt, they may be a branch administration officer.

The branch nominee may either monitor the branch email address on a regular basis or may request that automatic forwarding is set so that branch emails are automatically forwarded to either a personal email address or another petermortonjujitsu.org.au email address.

When a new branch is opened, the Chief Instructor of the new branch must send an email to website@petermortonjujitsu.org.au requesting an email address be set up. Details required in the request are:

  • Branch name
  • Chief Instructor name
  • Contact phone number
  • Branch contact name (if other than Chief Instructor)
  • Contact phone number
  • Postal address
  • Training location
  • Training time/s (juniors & seniors)
  • Whether the system administrator should set the automatic email forwarding when the account is set up. If yes, provide the email address the messages should be forwarded to.

Dan/Purple belt email addresses

All Dan and purple belt members of the Academy are eligible for a petermortonjujitsu.org.au email address.

Requests for new Dan / purple belt accounts must come from the Chief Instructor of the branch at which the member trains or is associated with. The Chief Instructor must send an email to website@petermortonjujitsu.org.au requesting a new email address be set up. Details required in the request are:

  • Branch name
  • Chief Instructor name
  • Dan / Purple belt details:
    • First name and surname
    • Contact numbers (home, business hours, mobile, fax)
    • Home address
    • Postal address
    • Rank
    • Actively training or not
  • Whether the system administrator should set the automatic email forwarding when the account is set up. If yes, provide the email address the messages should be forwarded to.

Event/Function email addresses

These are time-limited email addresses to be used for the exchange of information for specific events or functions (for example, Annual National Seminar registration and information, special course registration and information). The account will be deleted once the event has happened.

Requests for event/function email addresses must come from a Chief Instructor. The Chief Instructor must send an email to website@petermortonjujitsu.org.au requesting a new email address be set up. Details required in the request are:

  • Branch name
  • Chief Instructor name
  • Event/Function details:
    • name
    • where it will be held
    • when it will be held
    • coordinator name
    • coordinator contact number
  • Whether the system administrator should set the automatic email forwarding when the account is set up. If yes, provide the email address the messages should be forwarded to.

Other email addresses

Other members of the academy may be eligible for a petermortonjujitsu.org.au email address.

Requests for other email addresses must come from the Chief Instructor of a branch. The Chief Instructor must send an email to website@petermortonjujitsu.org.au requesting a new email address be set up. Details required in the request are:

  • Branch name
  • Chief Instructor name
  • Member details:
    • First name and surname
    • Contact numbers (home, business hours, mobile, fax)
    • Home address
    • Belt level (if appropriate)
    • Reason for needing a petermortonjujitsu.org.au email address
    • Whether the system administrator should set the automatic email forwarding when the account is set up. If yes, provide the email address the messages should be forwarded to.

Administrative responsibility

It is the responsibility of each member to monitor their particular petermortonjujitsu.org.au email address and to keep the account details up-to-date by maintaining the appropriate options, such as automatic forwarding of email to a personal email address, removal of old messages, and so on.

The preference is for members to have automatic forwarding set on their petermortonjujitsu.org.au email address so that messages are automatically sent on to a personal email address. This way the messages aren't stored on the petermortonjujitsu web space, reducing the amount of storage space available. Only the system administrator can set the automatic forwarding. If you need to set or change the forwarding email address, email website@petermortonjujitsu.org.au with your petermortonjujitsu.org.au email address name and the email address that messages should be forwarded to.

Automatic forwarding is not compulsory, but if a petermortonjujitsu.org.au email address is not monitored or cleaned up on a regular basis, the system administrator will log into the account and delete messages to reduce the amount of storage space the account is using.

Only the system administrator can change email address passwords. If you forget your password or want to change your password, email website@petermortonjujitsu.org.au with your request.

Contacting individual members

If you want to contact individual members of the academy, please use the contact details that are on the members section of the academy's website (http://www.petermortonjujitsu.org.au). This list is kept as up-to-date as possible.

How to log on to a petermortonjujitsu.org.au email address through the Internet

You can access your petermortonjujitsu.org.au email address over the Internet so you can access it from anywhere in the world.

How to retrieve your email using your own email software

Contact the system administrator at website@petermortonjujitsu.org.au with details of which email software you are using, including the version number, and instructions will be provided to you.
